DUTIES AND RESPONSIBILITIES:

  • Oversee the coordination of daily UAC and staff travel needs via ground or air methods of transportation (charter or commercial carrier).
  • Coordinate and give directions on flight / transportation manifests, and reports.
  • Contact airlines to obtain information on airline escort requirements.
  • Book flights, and complete itineraries, routing, and associated bookings (e.g., hotel, rental car) with the transportation specialist (TS) and escorted UAC.
  • Coordinates with other Departments for child discharge from the shelter
  • Assists with the development of policies and procedures
  • Works with the transportation database and coordinates with data management for reports
  • Has shared oversight with shelter supervisors of the escorts and other aides in the department.
  • Assist with resolution of ticketing and transportation issues with sponsors, minors, and staff
  • Performs duties in a safe manner
  • Follows the corporate safety and security policy
  • Participates and supports safety, security, training, and goals
  • Ensures safe operating conditions within area of responsibility
  • Encourages co-workers to work safely
  • Oversight of the travel budget for HHS (Health and Human Services) Travel that includes airlines, hotels and car rental/passenger vans and cargo to ensure on time bookings in support of shelter operations.
  • Responsible for maintaining weekly reporting of credit card reconciliation / expense reports on all finalized travel
  • Responsible for reporting weekly UAC discharge; which includes reunifications and transfers reports to leadership, as requested
  • Maintains supervision of CAID (Case Aide) staff supporting UAC travel to include the booking of itineraries, creation of staff expense authorizations, expense reports and financial reconciliation
  • Manage and provide 24-hour, 7 day a week access and support to personnel to ensure resolution is available for escorts and/or UAC with transportation issues such as delays or canceled flights.
  • Ability to adapt and respond quickly to changing requirements and/or immediate need requirements in a professional and courteous manner.
  • Responsible for adhering to all Acuity, ORR (Office of Refugee Resettlement), & other applicable regulations.
  • Ensures accurate timesheet management
  • Adheres to confidentiality, HIPAA (Health Insurance Portability and Accountability), and non-disclosure agreement always related to children and shelter operations; both on and off work (i.e., media and social media postings).
  • Follows all mandatory child welfare reporting requirements.
  • Performs miscellaneous job-related duties as assigned.

OTHER REQUIREMENTS:

  • Follows the corporate safety policy.
  • Participates and supports safety meetings, trainings, and goals.
  • Conduct and perform all duties within scope and in a professional manner.
  • Assists in active implementation of company initiatives to ensure compliance with OSHA VPP, JSO, Joint Commission, AAAHC, HIPAA, Federal Training Regulations, and other mandated regulations/standards.
  • Maintains clean and orderly work/break areas.
  • Perform oversight and management of the Travel Team to reunify and/or transfer UAC in shelter care.
  • Collaborate and interface with the Discharge and Reunification Team (DART) onsite, which serves as the operations hub for all UAC reunifications and transfers.
  • Serves as the primary POC (Point of Contact) for all airlines to negotiate pricing, obtain escort requirements, book flights, complete itineraries for all UAC and required escorts
  • Leads the development of all policies and procedures related to UAC, corporate and TDY travel to include the development of training manuals.

QUALIFICATIONS:

  • Master's Preferred, minimum Bachelor's in Business Administration or equivalent degree in a field related to logistics, or to human services or similar occupational areas.
  • Three to five years of documented travel/logistics experience in the travel industry.
  • Requires working knowledge of common office equipment and software including MS Office products and the ability to adapt to and efficiently work with other hardware/software products.
  • Excellent oral and written communication skills both internally and externally via phone, email and in person.
  • Must demonstrate planning and organizational skills and the ability to work under deadlines.
  • Interpersonal skills with the ability to develop effective customer and teammate relationships.
  • Bilingual in Spanish and English (Read, Write, Speak).
  • Must be able to multi-task, detail-oriented, organized and have excellent verbal and written communication skills.
  • Must be able to adapt to a changing work environment.
  • Must be able to receive and understand detailed information through oral/written communication.
  • Available to work full time hours with multiple shifts, including holidays, weekends, and on call.
  • At least 21 years old.
  • Clean criminal background check.
  • Clean Child Abuse and Neglect or Child Protective Services Check (CA/N).
  • Must be able to multi-task, be detail-oriented, be organized, and have excellent verbal and written communication skills.
  • Ability to remain calm and composed under stress.
