Salary Range: $39,703- $65,507 annualized, commensurate with education, experience and qualifications.

Hours: up to 40 hours per week, exempt.

Essential Functions

Job Summary

Directly assists and reports to the Associate Dean of Undergraduate Studies across a variety of domains. This position works collaboratively with various stakeholders and leads/assists routine, periodic, and strategic activities with relevance to administration, students, staff, and/or those with college-wide implications. This position plays an integral role in supporting student-focused operations to fulfill goals and missions while remaining impactful on student success. This position also provides professional expertise to support the Associate Dean of Undergraduate Studies and corresponding office in the management of a variety of processes.

Core Responsibilities
  1. Assists the Associate Dean of Undergraduate Studies with college admission, re-admission, and petition processes including updating of student records and preparation of decision letters.
  2. Prepares academic student documentation and retrieves information/records for the Assistant/Associate Dean's review while maintaining confidentiality.
  3. Utilizes Banner, Degree Works, Civitas Inspire, and other university platforms and ensures documents and decisions are properly logged, recorded, and distributed to appropriate university units and/or students.
  4. Responds to inquiries and serves as principal information source to prospective and current students as well as other campus units (such as Academic Advising and Resilient & Retention) via email and phone.
  5. Interprets policy, explains GPA and academic standing, and guides majors, minors, and other related academic matters.
  6. Provides information and referrals to students seeking assistance due to academic concerns.
  7. Assists Associate Dean of Undergraduate Studies on cyclical catalog revision and non-cyclical modification of information (when needed).
  8. Reviews and verifies the accuracy of respective materials in the catalog.
  9. Manages sensitive and confidential matters related to the operations of the Office of Undergraduate Studies and Alvarez Student Success Center, and maintains compliance with appropriate procedures, rules, mandates, and regulations.
  10. Works with faculty, staff, and students to explain and interpret academic policies, and train on program requirements, curriculum, and policy.
  11. Develops support documents, presentations, and other materials as needed in support of strategic initiatives and projects that align with the requirements of the college and the Office of Undergraduate Studies.
  12. Creates summaries or reports and presents data or findings to leadership.
  13. Supports student success initiatives from the Office of Undergraduate Studies and the Alvarez Student Success Center across a broad range of domains including but not limited to UTSA Day prospective student event, undergraduate student orientation and onboarding, transfer orientation, retention, and graduation initiatives.
  14. Assists in the development and coordination of a variety of academic-related programs and workshops.
  15. Assists Associate Dean of Undergraduate Studies in providing information or brief training on academic programming and related areas to administrators such as chairs and coordinators.
  16. Verifies the accuracy of course schedules.
  17. Performs other duties as assigned.

Required Qualifications
  • Bachelor's degree from an accredited institution.
  • Five (5) years of professional administrative, business management or accounting experience.
  • Master's degree or higher would substitute for two (2) years of work experience.
  • Demonstrated independent decision-making and problem-solving ability.
  • Excellent verbal and written communication skills, as well as the ability to acquire knowledge of campus procedures, activities, and the overall organization.
  • Ability to learn and adopt technology software in a fast-paced environment.
  • Ability to adapt quickly in a fast-paced and expanding work environment.
  • Ability to leverage data, assessment insights, and technology tools to deliver effective, relevant, and tailored career development support for undergraduate students.
  • Ability to plan, develop, coordinate, supervise, and organize programs and activities.
  • Ability to interact with a broad student population, faculty, staff, and the public.
  • Proficient in Microsoft Office Suite.

Preferred Qualifications
  • Experience in higher education, student success programs, or administrative support.
  • Knowledge of university platforms including Banner, Degree Works, Civitas, and/or IR Dashboard.
  • Experience with student academic advising.
  • Previous experience working with college students and/or clients individually or in a group setting.

Working Environment:
  • Office environment.
  • Requires use of personal computing equipment, telephone, multi-functioning printer, and calculator.
  • Ability to travel to and from meetings, training sessions, or other business-related events.
  • Occasional after-hours and weekend work or overtime may be required.

This position will require working both remotely in Texas and on campus (approximately five or more days on campus per month). Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
