Job Description:

Reporting to the Executive Coordinator for the Office of the Provost and Vice President for Academic Affairs, performs complex tasks and responsibilities in support of Academic Affairs and the units that report to Academic Affairs, including all departments and centers. Possesses skills to perform complex office work, assumes responsibility with limited supervision, displays initiative, maintains the confidentiality of information, makes appropriate decisions, and performs various administrative duties.

  • Schedules and attends University Curriculum Council and Academic Faculty Assembly meetings, prepares agendas and meeting packets, maintains records, and assists with minutes.

  • Assists in all phases of the editing and production of the Courses of Study Bulletin and the Faculty Handbook.

  • Schedules and prepares for Promotion and Tenure Commission meetings to include the collection, coordination, and archiving of complex supporting documentation.

  • Collects, maintains, and electronically files complex faculty transcripts and credentials, ensuring accuracy and completeness. Provides support to faculty hiring record-keeping.

  • Supports the Faculty Development Committee by tracking and compiling faculty leave and summer stipend requests and communicating outcomes to applicants.

  • Maintains accounting records, prepares monthly reports, reconciles purchase card transactions, and provides budget support.

  • Uses initiative and independent judgment to relieve administrators of routine matters and decisions related to inquiries, division activities, problems, or complaints without consultation based on standard practices and procedures.

  • Coordinates and aids in planning events and travel logistics, including relevant budgets. Coordinates, schedules, and provides follow-up for high-level meetings for the Division, including room reservations and catering.

  • Serves as secondary point of contact for the Vice President suite and the primary point of contact for telephone calls. Greets visitors, takes messages, makes appointments, and provides information. Triages urgent matters with discretion and confidentiality. Performs complex administrative duties. Prepares and maintains confidential and/or complex materials, forms, and documents.

ADDITIONAL DUTIES

  • Cooperates and collaborates with other employees in the spirit of teamwork and collegiality and interacts with confidence, patience, and integrity to provide professional leadership during emergencies.

  • Complies with all Trinity University policies and guidelines.

  • Performs other duties as required.

EDUCATION

Required:

  • High School Diploma or GED plus six years of the below-required experience ~OR~ Bachelor's degree plus two years of the below-required experience.

Preferred:

  • Bachelor's degree from an accredited institution.

EXPERIENCE

Required:

  • Five years of experience providing high-level administrative support to a large, complex department/office, including calendar management, travel arrangements, project coordination, and material preparation. At the department's discretion, a Bachelor's degree may substitute for four years of the required experience.

  • Experience making decisions and providing administrative support for multiple priorities, scheduling of multifaceted meetings, retreats, and event planning.

  • Proficiency in Microsoft Office Suite, Google Suite, and other commonly used software programs applicable to business operations.

  • Preferred:

  • Experience supporting a busy executive-level office with complex calendar management.

  • Experience working in higher education.

  • Advanced proficiency in Microsoft Office and Google Suite.
