Salary Range: $38,000- $44,200 annualized, commensurate with education, experience and qualifications.

Hours: up to 40 hours per week, non-exempt.

Essential Functions

Job Summary

Assist in the supervision and administration of a department and handle various administrative decisions. Responsible for the administrative planning of internal activities, programs, and special projects in the Department of Computer Science. Makes administrative decisions requiring a thorough knowledge of regulations, policies, and procedures.

Core Responsibilities
  1. Responsible for processing travel requests, travel and expense reimbursements, purchasing, contracts and service agreements, and other departmental duties.
  2. Uses initiative and independent judgment to relieve one or more administrators of administrative matters and decisions.
  3. Assists administrators in establishing and attaining departmental goals and objectives.
  4. Provides prompt and responsive assistance to the department's students, faculty, and staff inquiries and concerns.
  5. Plans, organizes and coordinates administrative duties.
  6. Supervises and trains work-study students.
  7. Assists in establishing organizational policies, work rules, and operating procedures.
  8. Assists in preparing departmental budgets by gathering and compiling information and making recommendations.
  9. Assists with maintaining and monitoring budgets and fiscal reports.
  10. Collects data from various sources and analyzes for accuracy, completeness, and relevance.
  11. Acts as a liaison with other departments and agencies regarding inventory control, building services, equipment maintenance and repair, purchasing, safety, and other administrative matters.
  12. Performs other duties as assigned.

Periodic:
  1. Disseminates important policy and procedure information to faculty and staff.

Required Qualifications
  • High school graduate or GED.
  • Six (6) years of increasingly responsible administrative, clerical, or office experience.
  • A Bachelor's degree may be substituted for four (4) years of experience.
  • Knowledge of current methods and systems of bookkeeping, filing, and purchasing.
  • Intermediate skill level for Microsoft Office desktop applications (Word, Excel, Outlook, PowerPoint, and MS Teams).
  • Demonstrated ability to apply knowledge in everyday work situations while utilizing independent judgment.
  • Requires detailed accuracy while completing tasks within department timelines.
  • Personal computer and standard office equipment use.

Preferred Qualifications
  • Bachelor's degree from an accredited institution.
  • Two (2) years of experience with processing travel requests and reimbursements, purchasing, contracts/agreements, budget management, and other areas of fiscal administrative duties.
  • Similar experience with three or more (3+) years in higher education.
  • One (1) year of supervisory experience.
  • Advanced knowledge of university organization structure, policies, rules, and procedures.
  • Familiarity with PeopleSoft, Banner, and other enterprise-level desktop applications.

Working Conditions

Working Environment:
  • Office environment.
  • Requires use of personal computing equipment, telephone, multi-functioning printer, and calculator.
  • Ability to travel to and from meetings, training sessions, or other business-related events.
  • Occasional after-hours and weekend work or overtime may be required.

Physical Demands:
  • Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
  • Exerts up to 10 lbs. of force occasionally.

This position will be primarily located on the UTSA main campus. Travel and parking expenses are the employee's responsibility.
