Stock Specialist

Overview:

The Stock Specialist provides in-office, front-line support for Olgoonik Corporation (OC) shareholders and descendants, including applicants seeking to enroll in OC, for matters relating to corporation stock. The position supports the effective operation of the Stock Department, as well as the larger Corporate Administration team, including answering general questions, reviewing and processing forms, providing stock information, shareholder database data entry, records digitization, filing, uploading forms and records, and assisting with shareholder events.

Primary Responsibilities:
  • Answers questions, shares information, and assists with forms and applications relating to OC's programs, Class B enrollment, and other stock and shareholder matters.
  • Works closely with other departments to assist with shareholder community programs, outreach, and events, as directed.
  • Assists shareholders and descendants with enrollment applicants and other paperwork. Scans, saves and uploads documents, forwards paperwork to appropriate points of contact, and assists with processing forms.
  • Assists with compiling information packets for Heirship Committee review and attends Heirship Committee meetings when directed by supervisor.
  • Assists with processing shareholder dividends, including updating shareholder and custodian information, logging dividend calls and answering questions, working with accounting to provide updated address and direct deposit information, stop payments, and reissue of dividends.
  • Maintains confidential files, records, and data information relating to shareholder stock, stock transfers, enrollment, dividends, scholarships, and other shareholder benefits.
  • Assembles and creates routine and non-routine documents including, but not limited to correspondence, policies, presentations, procedures, newsletter articles, reports, work instructions, minutes, and logs.
  • Interfaces with and assists with contacting shareholders, descendants, applicants, shareholder families and local entities by phone, mail, providing printed materials, in-person, by email and other electronic methods.
  • Performs data entry.
  • Supports OC Anchorage office Admin staff by providing back-up coverage for reception and other assistance as needed.
  • Other duties as assigned.

There are no supervisory responsibilities associated with this position.

Education and/or Experience:
  • High School diploma or GED equivalent required.
  • Two (2) years of administrative experience required, including one (1) year of experience with sensitive and confidential information.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook required.
  • Proficiency with Adobe Acrobat preferred.
Knowledge, Skills, Abilities:
  • Must be able to relate to Olgoonik Corporation shareholder needs and establish excellent communications with shareholders, descendants, community members, and enrollment applicants
  • Must be able to maintain timely and regular attendance.
  • Must be able to multi-task efficiently, work in a fast-paced environment on multiple projects and have a strong attention to detail.
  • Must possess self-motivation and the ability to work effectively under minimal supervision.
  • Must demonstrate an excellent attitude and ability to work as a member of a team.
  • Must be able to exercise discretion in performing assigned tasks and projects.
  • Must demonstrate ability to appropriately handle proprietary and confidential information in accordance with corporation policies and procedures.
  • Must have proficient written and verbal communication skills.
  • Must have the ability to effectively present information to public, management, and staff.
  • Must be proficient with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Ability to work under pressure and meet new challenges with an open mind and optimistic response.
Certificates, Licenses, Registrations:
  • Valid Alaska Driver's license is required
